I used to think being a great Project Manager meant delivering on time and within budget—every time. And for a while, that worked. I was ticking all the boxes, closing out projects, and getting decent feedback. But something felt… stuck. I was running projects, but I wasn’t leading anything bigger than a couple of milestones and smaller teams.
Then it hit me—if I wanted to really grow, to step into a role that could influence strategy, lead transformation, and shape outcomes at scale, I had to change how I showed up.
What got me here wouldn’t get me there.
The shift didn’t happen overnight. It came through intentional habit changes—some subtle, some seismic—that moved me from being a reliable PM to someone who could confidently lead a PMO, oversee a portfolio, and earn a seat at the leadership table.
Here are the habits that changed my trajectory—and might just change yours too 👇
1️⃣ Cultivating a Strategic Mindset
- Shifting Focus: Move beyond individual projects and start thinking holistically about organizational goals, strategic alignment, and the interconnectedness of initiatives.
- Data-Driven Decision Making: Make data your friend – analyze trends and use data from your projects and environment to identify risks, and make informed decisions based on data and metrics.
- Proactive Risk Management: Develop a risk approach that anticipates and mitigates potential roadblocks across the entire portfolio.
2️⃣ Mastering Communication and Influence
- Effective Stakeholder Management: Build strong relationships with executives, sponsors, clients and team members – across various departments.
- Clear and Concise Communication: When giving feedback or updates on your projects and programmes, ensure you articulate complex information effectively across all levels of the organisation especially to your company leadership.
- Negotiation and Influence: Show that you are able to negotiate effectively to secure and manage resources and diffusing conflicts.
3️⃣ Fostering a Culture of Continuous Improvement
- 🔁 Process Improvement: Regularly refine processes to boost efficiency and effectiveness.
- Knowledge Sharing: Promote learning through mentorship, training, and documentation.
- Learning Agility: Stay ahead with emerging technologies, methodologies, and trends – including knowledge on the industry that your company operates in. e.g if you are in banking, learn the latest trends regarding banking systems and processes as this likely impacts how you deliver projects.
4️⃣ Demonstrating Leadership and Teamwork
- Mentorship and Coaching: Nurture junior PMs and support their growth.
- Building High-Performing Teams: Foster a supportive, thriving team culture for each of your projects.
- Leading Change: Steer change initiatives with confidence and empathy.
5️⃣ Developing Business Acumen
- Understanding Business Objectives: Learn the business side, learn more about the business’s financial goals, market dynamics, and strategic priorities.
- Resource Allocation & Prioritization: Immerse yourself in learning how to manage project resources on a broader scale beyond just one project or programme. Develop skills in prioritization techniques.
- Financial Management: Sharpen skills in budgeting, forecasting, and cost control.
By cultivating these habits, Project Managers can transition into higher-level roles and become game-changers in their organizations. 🏆 They’ll be equipped to lead complex portfolios, drive strategy, and contribute meaningfully to success. 💼
